Response Rate Report

We’re excited to introduce the Response Rate Report, a tool to help you analyze participation trends in surveys and share high-level insights from your engagement, without exposing sensitive data. This report is available to any user with access to the Reports page and is exclusive to engagements running participant invitations.
- Ideal for surveys that use participant invitations and have the Analyze demographic data in Results feature enabled.
- Not recommended for Exchanges since they don’t have a ‘Complete’ step.
Using the Response Rate Reports, you can easily generate CSV reports segmented by uploaded demographic data or assignments for a clear view of participation rates.
Participant Status Report
Note: This feature is available by request - please reach out to your ThoughtExchange rep for more information (This is a limited feature and requests have to go through our Privacy team)
In this release, we have also added Participant Status Reports to our reporting tools. This new addition allows staff with the Data Analyst role to gain insights into the participation levels of invitees in engagements where participation is restricted by unique links or code access. This downloadable CSV report provides detailed information about each invitee and their participation status, making it easier to track and analyze participation.
Assignments

You can now assign invited participants to participate multiple times. This feature allows invitees to provide feedback multiple times in the same engagement for different| |assigmnts, such as a person giving feedback on a pool of assigned colleagues, or a parent providing feedback on behalf of each of their children. Using a .csv contacts list with an ‘Assignment’ column, admins can now enable participants to submit a response per assignment. This feature’s first iteration works exclusively with access codes and is perfect for collecting detailed, segmented feedback.
For example, Mary Smith has been assigned to 10 different teachers for feedback in the same survey. In the .csv file, there will be 10 rows for Mary Smith,
Note: the information in each column is identical with the exception of the Assignment column
Once Mary opens the survey and enters her access code, she is greeted with a request to select which of her assignments she wishes to participate on behalf of first.
Mary is then taken to the body of the survey which persistently displays her selected assignment. This mitigates any potential confusion.
Once the survey is completed, Mary is prompted to submit and continue onto the next assignment.
At this point, Mary is brought back to the assignments dropdown, where she can select her next assignment. She can also select a previous assignment in case she wishes to edit her responses. This cycle continues until she has participated for all assignments, at which point the button reads “Submit and complete”
In Results, each response is treated as a participation. If 1000 participants each have 3 assignments, Results will summarize 3000 responses. While results cannot be filtered or compared by assignments, the Participant Response Export, Response Rate Report, and Participant Status Report would each have a column representing the assignee.
Opt Out (Bulk Management)
In our last release, we introduced the Opt out management feature. In this release, we’re adding the bulk update feature, giving leaders an easier way to update a contact list being used in an active engagement.
In Account settings, choose Contacts, select the contact list you’d like to edit, and select ‘Manage Opt Out’:
Here, you can bulk paste the email addresses or access codes to manage participants who opt out.
SFTP

Our S3 and SFTP (Secure File Transfer Protocol) integrations streamline the process of importing contact lists into ThoughtExchange. With daily automated updates at 9 AM UTC, you can now ensure your contact data stays current without manual intervention. This feature supports flexible data mapping, secure authentication methods, and seamless synchronization with your xIS platform, making it easier than ever to manage your engagements efficiently.
