Results
The “Share” button in Results allows you to grant other users access to manage or view their engagement results. This essentially turns the entire Results dashboard into an interactive report that can be shared within teams. All you need is their email address!
Access Levels Overview
Manage Access
Users with Manage access have the same permissions as a leader. They can:
- Edit results
- Moderate content
- Publish and export reports
- Access to the Article and Advisor AI tools
View Access
Users with View access can only see content without making changes. They have read-only access to:
- Results Overview (no editing)
- Survey Analysis
- Differences
- View Reports
- Access to the Article and Advisor AI tools
Note: If a user with View access has filter presets applied, they may see fewer pages because some pages cannot be filtered at this time.
You can also include demographic contact data from your contact upload in Shared Filter Presets. This allows you to create and share filtered views of the Results Dashboard based on specific demographic data, providing tailored insights to your team members.
For example, if you want a user to focus on survey responses from a specific demographic group, simply set up a filter preset with the relevant demographic data and share it. This makes it easier than ever to customize access and ensure users see the information most relevant to them.
Users with view access can see themes created by exchange managers and are able to read and share summary reports in the Reports tab, but not create their own. Viewers are able to download data using the "Data download" feature in the Reports tab.
Additionally, leaders can grant a Results Viewer access to view a filtered version of the dashboard. At this time, only survey questions are available as filters.
To grant a filtered view of the Results dashboard:
- Add the viewer by clicking ‘Share’ and then ‘Add’
- Enter their email address, select ‘View’ access, then click ‘Add’
- Once the viewer’s name appears in the list, click the filters icon in the ‘Filter presets’ column
- Select the survey question responses you would like to use as filters and click ‘Apply filters’
Adding multiple users with Bulk Upload
The Bulk Upload feature makes it easy for leaders to give filtered access to a large number of viewers—up to 500 email addresses at once.
Each viewer will only see the part of the results that applies to them—based on the filter you choose (e.g. School Name, Department, Role, etc.)
Steps to use Bulk Upload when sharing results:
- Go to any Results page and click the Share button
- In the Share screen, click Add to open the Add User dialog box.
At the top, select Bulk Upload
Choose your Filter Criteria from the dropdown (this will control what each user is able to view)
- Upload your CSV file (see more information about CSV format below).
- Click Add to finalize the upload.
CSV File Format
Your CSV must have two columns:
- Column 1: Email addresses
Column 2: Filter value (must match exactly with a value listed in the filter dropdown you selected in Step 4
Important:
Only one type of filter can be applied during bulk upload. If you'd like to apply more filters for specific users, you can edit them individually later by clicking the Filter presets icon beside their name.
If the upload fails, you’ll receive an error message with guidance
- If the upload succeeds, you’ll receive a confirmation message
Once you see the success message, don’t forget to click Add to complete the process!
Note: Users who you grant access to will need to login to ThoughtExchange before they can view the dashboard. That is how we make sure your results are only shared with who you want to share them with!
For example, Jane (who is VP of her department) could use Share to grant the manage permissions to her management staff for her recent Exchange. They could then go into the Results Dashboard to theme the exchanges relevant to their teams, export their own Thoughts reports and publish summary reports.
From there, each manager decides that they want to share the dashboard with their team members, but they don’t want any changes made to the themes they’ve decided upon or the reports they have created. They can each use Share to add their additional users to the Results Dashboard with view access. These new users will now be able to view the dashboard, but won't be able to change anything.
