Leaders can edit the subject line and body of the invitation email participants receive at any time - even after launch to account for individuals invited after launch. This helps ensure the email reflects the organization's voice and gives participants the context they need to respond.
Note: Only participants added with an email address will receive an invitation email. Participants using access codes only will not receive an email — share the engagement URL and their code with them directly.
Steps
- Emails can be customized in two places:
- Immediately after uploading the participant list.
Via the grapes menu on the Participant List
- Update the subject line. Keep it short and clear — participants are more likely to open an email that tells them exactly what it's about.
- Update the body text. A unique access link is automatically included for each participant — this does not need to be added manually.
- Click Save.
Tips for a good invitation email
- Tell participants who the email is from and why their response matters.
- Include the deadline if there is one.
- Keep it short — one or two paragraphs is enough.
