Follow these steps to set up a survey that uses Invitations to reach participants.
Step 1: Create the engagement
- Log in at my.thoughtexchange.com and click + Create in the top right corner.
- Select Adaptive Survey as the engagement type.
- Complete the Survey Details step — add a title, objective, and introduction. Click Save & Next.
- Build survey questions in the Survey Questions step. Click Save & Next.
Step 2: Set up Invitations
In the Participants step, select Invite only.

- Consider The demographic information uploaded along with each participant has two main benefits:
Results analysis: use this data to group, filter, and compare your results by cohort. This also reduces the number of questions asked to participants.
Survey design: Use the data to create survey display logic. E.g rephrase a question based on grade level. Only display a series of questions based on school type.
- Configure the invitation email (optional). Leaders can customize the subject line and body text. See How to customize the invitation email for more.
Step 3: Review and launch
Once your upload is complete, you will be redirected to the Participant list, where you can search, filter and sort through the full list of invitees as well as either add additional participants, make edits, or replace the list entirely.
Prior to launching, it’s important to consider whether any of your participants will be participating from shared devices, e.g computer labs. By default, ThoughtExchange saves participants sessions, so that if they don’t manage to finish their survey in one go, they can pick up where they left off versus having to start over from scratch. This poses an issue in shared environments, where the opposite is desired.
In such cases, ThoughtExchange’s shared devices feature should be turned on. Enabling this resets the participation page to the start screen after periods of inactivity, when the page is refreshed, or when a tab is closed or reopened.
Similarly, if there’s a significant risk of individuals knowing each others access codes, it is worth considering to hide the review responses button located at the end of the survey. That way, a person accessing another person’s completed survey prevents them from reviewing their responses.
Both of these features are available from the Privacy & Access section of the Settings page.
- Click Launch when ready.
- On launch, any email-based invitees would receive an invitation email.
- Access code invitees must be provided with the public link, which can be obtained via the grapes menu in the Participant list.
Upon accessing the public link, participants would be required to enter their access code prior to participating.
Note: Once an engagement is live, some settings cannot be changed. Review the Summary step carefully before launching.
