Why Setting the Tone Matters
An Exchange thrives when participants feel confident that their voices matter and their ideas will be treated seriously. Without clear expectations, however, even well-intentioned discussions can drift into negativity, off-topic remarks, or comments that don’t help move the community forward.
By setting clear norms, just as you would in a staff meeting or classroom, you help participants bring their best thinking to the table. That means richer insights for you, and stronger trust across your community.
4 Steps Leaders Can Take to Encourage Constructive Participation
1. Frame with Purpose
Explain why you’re asking for input and how you’ll use it. This transparency builds trust.
Example:
“We’re asking for your ideas on how to strengthen school safety. The input we receive will directly inform our spring action plan.”
💡 Leader Tip: Always connect the Exchange to a real decision. If participants know their input will shape policy, programming, or priorities, they’ll take it seriously.
2. Set Clear Expectations for Tone
Be explicit about the type of input you want. Most participants appreciate being told directly.
Example:
“Please share your ideas in a kind and constructive way. Remember, this is a space for collaboration and problem-solving.”
💡 Leader Tip: Add a short sentence to your Exchange description or invitation email. Small reminders can prevent big issues.
3. Remind Participants Their Ideas Are Public
Participants sometimes forget that others will see what they share. A simple reminder encourages thoughtfulness.
Example:
“All comments in this Exchange will be visible to others in our community. Be honest, but also considerate.”
💡 Leader Tip: When distributing the Exchange link, take 20 seconds to reinforce this verbally. Hearing it from a leader sets the standard.
Bonus: Use a Quick Video to Set the Stage
A short video (30–60 seconds) from a superintendent or principal is one of the most effective ways to set the tone. In the clip, you can:
- Welcome participants.
- State the purpose of the Exchange.
- Remind them to share ideas thoughtfully and constructively.
💡 Leader Tip: Videos add a human touch and help participants feel personally invited into the conversation.
