Improvements to Invitation Emails (COMING SOON)
We are making changes to our invitation email design and content to better align with deliverability best practices:

Clearer Subject Lines
We will soon use your organization’s name (e.g., your school or district) instead of the Exchange leader's name in email subject lines. This helps participants recognize that the email is relevant and trustworthy. -
Easy Unsubscribe Options
We’ve simplified the unsubscribe process so recipients can unsubscribe with just one click. This change aligns with industry best practices and helps protect our sender reputation. -
Gmail-Friendly Formatting
We’ve added a “list-unsubscribe” header, so Gmail users will see an Unsubscribe button right in their inbox interface. This helps reduce the chance of emails being marked as spam. -
Abuse Reporting Compliance
We’ve confirmed our compliance with the Abuse Reporting Format (ARF), a standard that helps email providers process spam complaints more accurately.
Ongoing Monitoring & Deliverability Checks
We regularly use third-party tools to check our email formats and make sure they won’t be flagged by spam filters. These tests help us catch and fix any issues before they impact deliverability.
Trusted Email Authentication
To maintain our sender reputation and ensure our emails pass authentication checks, we actively manage:
- SPF (Sender Policy Framework)
- DKIM (DomainKeys Identified Mail)
- DMARC (Domain-based Message Authentication, Reporting & Conformance)
These settings help email providers confirm that emails from ThoughtExchange are legitimate and haven’t been tampered with.
Monitoring & Troubleshooting
We constantly monitor our delivery performance and check for any signs of blocklisting, so we can act quickly if anything affects deliverability.
We also offer guidance on allow listing if your IT team wants to proactively make sure emails from us are always delivered.
