Every successful Exchange is the result of participants coming back again and again to continue sharing and rating thoughts and taking part in the conversation. To help continued engagement, nudges may be sent from time to time to encourage new ideas and more ratings. These notifications can be changed in the Settings menu at my.thoughtexchange.com, but we thought we’d offer an explanation of exactly what those settings do and some information about how and when you might receive a notification.
How Are Notifications Sent?
Leaders have several options for how they invite participants into their engagements and the way notifications are sent out is determined by their choices. Leaders can choose to disable participation reminders (for their participants and themselves) by toggling the option OFF in the Settings menu.
If the leader shares a link with participants
Only the leader and participants who have logged in with an email address and password will receive notifications, which will be sent via email. As a leader, if you want to ensure all your participants receive automatic notifications, you can switch on the "Sign up or login required" option in the settings.
Note: Participants can choose not to receive any of these automatic email notifications by adjusting their account settings as described in the Notification Settings section below.
If the leader sends invitations via our Slack or MS Teams integrations
The leader and all participants who received the initial invitation will receive notifications via the same channel (i.e. if you received and invitation via Slack, that is where your notifications will appear).
If the leader invites participants to the engagement using the Contact Upload feature
The leader and all participants will receive notifications via email.
Note: Participants can choose not to receive any of these automatic email notifications by adjusting their account settings as described in the Notification Settings section below.
When Are Notifications Sent?
A maximum of 2 reminders will be sent while an Exchange is active and potentially less depending on the deadline or Exchange activity (thoughts and ratings entered).
Generally speaking, reminders are sent on the following timelines:
Exchanges with deadlines:
- 0 reminders are sent if the deadline is less than 2 days from the launch date.
- 1 reminder is sent if the deadline is 2-4 days from the launch date
- 2 reminders are sent if the deadline is over 4 days from the launch date
Exchanges without deadlines
- 0 reminders are sent if there are no thoughts in the Exchange.
- 1 reminder is sent if ratings decrease for 2 full consecutive days.
- A 2nd reminder is sent if ratings decrease for another 2 days AND new thoughts were entered since the 1st reminder went out.
Notification Settings
There are three options for notification settings on your account:
Notifications: "On" (AKA “the whole enchilada”)
As the Leader of the exchange, you will receive updates:
- after 5 thoughts have been shared
- if you have set up a deadline for the exchange, 3/4 of the way to the close time
- when a thought has been reported
- when the exchange closes
As a Participant of the exchange, you will receive a notification when:
- 10 or more thoughts have been added since you last participated
- the Leader has sent out a manual notification to all participants
Notifications: "Quiet" (AKA “easy on the emails!”)
*this is the default setting for desktop/laptop browser notifications
As the Leader of the exchange, you will receive a notification when:
- the exchange closes and there has been at least one thought shared
As a Participant of the exchange, you will only receive a notification when:
- the Leader has sent out a manual notification to all participants
Notifications: "Off" (AKA “don’t call us - we’ll call you”)
You’ll receive no notifications or reminders, and it’ll be up to you to check back in with those who are counting on your thoughts! Remember: with great power comes great responsibility!
Allow-Listing
You may need to add the Thoughtexchange domain to your organization's allow-list so that notifications don't end up in your spam folder.
